Privacy Policy

Updated 31 July 2025

1. Introduction

Reload dev, s.r.o. operates BeeQeeper, a software‑as‑a‑service (SaaS) product that helps banks, fintechs and cryptocurrency exchanges manage accounts, payments and compliance. In the course of operating this product we collect and process personal information about visitors to our website beeqeeper.com, prospects who request a demo or contact us, and business partners. This Privacy Policy explains what data we collect, how we use it, on what legal basis and what rights you have.

Reload dev, s.r.o. is the data controller for personal data collected via the BeeQeeper website. Our contact details are set out in the Contact us section below.

2. What personal data we collect

We may collect and process the following categories of personal data:

  • Contact details: name, company name, job title, email address, telephone number and any other information you provide when you request a demo or contact us.
  • Device and usage data: IP address, browser type, device identifiers, pages visited, links clicked and other usage statistics collected via cookies and similar technologies.
  • Business information: details about your company and role that you choose to provide when contacting us (e.g., industry, size, use case).

We do not intentionally collect sensitive personal information such as health data or bank account credentials through our marketing website.

3. How we collect personal data

We collect data from you in several ways:

  • Information you provide directly when you schedule a demo via the Calendly widget (there is no separate contact form; both “Request Demo” and “Contact Us” open the same scheduling form) or when you communicate with us via email or telephone.
  • Automatic collection through cookies, analytics pixels and similar technologies when you browse our site (e.g., Google Analytics).
  • Third‑party sources such as LinkedIn or marketing partners when we run lead‑generation campaigns; in these cases we only receive data that you chose to submit via the platform.

4. How we use your personal data and legal basis

Under the European Union’s General Data Protection Regulation (GDPR), we must have a lawful basis to process personal data. Depending on the context, we rely on the following bases:

  • Performance of a contract or taking steps at your request: to respond to inquiries, set up demonstrations of our software and prepare commercial offers.
  • Legitimate interests: to analyse website traffic and improve our services; to communicate with business contacts; to prevent fraud and ensure the security of our site. We balance our interests against your rights and freedoms.
  • Consent: where you have given explicit consent, for example to accept optional cookies or participate in surveys. We do not currently offer newsletters or subscribe you to any marketing lists.
  • Legal obligations: to comply with applicable laws and regulations or respond to lawful requests from authorities.

We use personal data for the following purposes:

  • Providing and improving our services: managing demo requests, responding to questions, developing our platform, and tailoring content based on usage patterns.
  • Sales follow‑up: contacting you after your demo request to discuss your interest. We do not send marketing newsletters, industry news or event announcements.
  • Security and compliance: monitoring use of the site, detecting fraudulent or abusive activity, enforcing our Terms of Use and complying with legal obligations.

5. Cookies and analytics

Our website uses cookies and similar technologies to remember your preferences and collect usage statistics. For example, we use Google Analytics to gather aggregated data about how visitors use our site. Cookies may store your IP address and user‑agent but do not directly identify you.

You can manage cookies through your browser settings. For more details, see our Cookie Policy (to be published).

6. Sharing your personal data

We do not sell personal information. We may share your data with:

  • Service providers and partners who process data on our behalf, such as web‑hosting providers, analytics services, email marketing platforms and CRM systems. These providers are bound by contracts that require them to protect your data and only process it as instructed.
  • Professional advisers (lawyers, accountants, auditors) as necessary to manage our business.
  • Authorities if required by law or to protect our rights and safety.

We may transfer personal data outside the European Economic Area. When we do so, we ensure that appropriate safeguards (e.g., Standard Contractual Clauses) are in place.

7. Data retention

We retain personal data only as long as necessary for the purposes described in this policy. Typically:

  • Contact data related to demo requests is retained for up to 3 years after your last interaction.
  • Usage data collected via cookies is retained in aggregated form for up to 24 months.
  • Data necessary to maintain our contractual or legal obligations may be stored longer (e.g., accounting records).

We periodically review the information we hold and securely delete or anonymise personal data that is no longer needed.

8. Your rights

If you are located in the EU or other jurisdiction with data‑protection laws, you have the right to:

  • Access the personal data we hold about you and obtain a copy.
  • Rectify inaccurate or incomplete personal information.
  • Erase your data (the “right to be forgotten”) where there is no legal basis for its continued processing.
  • Restrict or object to our processing of your data.
  • Port your data to another controller in a structured, commonly used and machine‑readable format.
  • Withdraw consent at any time if processing is based on consent.

To exercise any of these rights, please contact us using the details below. We may need to verify your identity before processing your request. If you believe we have not handled your personal data correctly, you also have the right to lodge a complaint with your local supervisory authority.

9. Security

We employ technical and organisational measures designed to protect personal data against unauthorised access, loss or misuse. These measures include encryption, access controls and regular security testing. However, no system can be completely secure; please contact us immediately if you believe your personal data has been compromised.

10. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable laws. The updated version will be posted on our website with a new “Updated” date. If the changes are significant, we will notify you by email or through our site.

12. Scheduling a demo via Calendly

When you click the “Request Demo” button on our website, a scheduling page provided by Calendly, LLC opens. To book a meeting you will be asked to provide your name and email address and you may optionally add a phone number or information that will help us prepare for the discussion. BeeQeeper uses this information solely to schedule the meeting and follow up with you. The legal basis for this processing is our legitimate interest in responding to your request or taking steps at your request prior to entering into a contract.

Calendly’s privacy notice states that when customers use its services to schedule meetings, those customers (such as BeeQeeper) act as the data controller and Calendly acts as a processor. Calendly processes the data you submit — such as your name, email address, phone number and any comments. Calendly’s service also offers optional features, for example to record and transcribe meetings; however, BeeQeeper does not use these features. Our demo calls take place via third‑party services (e.g., Zoom or Google Meet), and we do not record or transcribe the content of those calls unless we expressly inform you and obtain your consent.

Calendly may also automatically collect device and usage data via cookies and similar technologies, including your IP address, browser type, device identifier and other log data, to customise your booking experience and improve its services. This data is collected subject to your consent and Calendly’s own legal bases. For more information about how Calendly processes personal data, please review Calendly’s Privacy Notice. BeeQeeper and Calendly have entered into a data processing agreement to ensure that your personal data is processed in accordance with applicable data‑protection laws.
